Crane Operations Software: From Quote to Invoice in One Platform

See how connected crane operations software runs the whole job — quote, schedule, field capture, payroll and invoicing — with AI doing the repetitive processing in between.

Crane

Most crane and rigging contractors aren’t short on software. Instead, they’re short on software that talks to itself. Good crane operations software should connect the field, the office and finance. That way, a single job flows from quote to invoice, and nobody re-keys it three times along the way. But when those systems don’t connect, the cost lands where it hurts most. Dockets / work tickets go missing, invoices go out late, and cash flow tightens. Meanwhile, your most experienced people spend their days on data entry instead of the work that wins the next job.

That’s the gap the CraneOps workflow in Assignar closes. So rather than describe it, we’ll walk the whole job the way a crane business actually runs it — quote, schedule, capture, pay, invoice. And you can watch each step in a short video clip as we go.

1. Crane operations software that starts with a winning quote

The job starts with the quote, so that’s where your crane operations software should start too. Instead of building a quote line by line, you describe the work in plain English — “20-tonne franna for two days with two riggers.” Then AI assembles it from your schedule of rates. You can paste the client’s email straight in, choose the client, project and rate card, then edit anything before it goes out. Quoting in seconds means you respond while the job is still warm. And because every quote draws on the rates you’ll actually bill, the number you quote is the number that flows through to the invoice.

2. Put the right crew on the right crane

Winning the job is one thing; resourcing it compliantly is another. When a client calls needing you for an extra day, you drag the job across. Then the platform runs the background checks for you: who’s available, who’s inducted and ticketed, and how far each operator lives from site. So you won’t dispatch a rigger on a 1,200km round trip. You can allocate a single shift or a whole week at once, or switch a day to a night shift on the fly. And the moment you book each crew member, they get the job details on their phone.

3. Stay compliant and audit-ready

For tier-one work, compliance isn’t paperwork — it’s the price of entry. So CraneOps tracks worker tickets and asset compliance together, and it flags expiries before they bite. That covers licences and inductions at the worker level, plus rego, services and insurances at the asset level, with date, usage (hours/km) or combined triggers. Daily pre-starts capture hours, faults and photos, with logic that adapts as the operator goes. As a result, you build the maintenance and service history that clients and regulators expect to see.

4. Capture the work in the field, not on paper

In most crane businesses, the single biggest leak sits between the site and the office: lost dockets / work tickets, half-filled timesheets, and pay periods spent chasing paperwork. But put everything your operators and riggers need in one mobile app — jobs, hours, equipment, work order and PO numbers, and the forms they complete — and the field stops being a black box. It works offline on remote sites, then syncs the moment they’re back in reception. As a result, the office always has a live view.

The job sheet is where the field meets finance. Crews start the docket / work ticket, bring in the allocated team, confirm the times, add any extras, and capture the client’s signature on the spot. Then it lands in one connected system the moment the job ends, ready for invoicing.

5. Turn a day’s dockets / work tickets into data — without re-keying

A busy week can mean dozens of dockets / work tickets. Previously, the answer was a person typing them in one by one. Here, instead, you import the day’s dockets / work tickets and let AI process them in bulk. Set it going, get on with other work, then come back to review the results rather than re-enter them. AI highlights and processes ten or twenty dockets / work tickets in one pass.

6. Let crane operations software handle the billing rules

Crane billing is rules-heavy: base rates, minimum hires, early-start loadings, travel and mobilisation. And getting it wrong quietly erodes margin. So upload your schedule of rates (or time & materials) once, and AI reads the document and builds the billing rules for you. It then applies them automatically to every docket and timesheet. You can hold a separate SOR (or T&M) for each client or project, and the system checks which rate card applies before it touches a job. Your EBAs work the same way. Upload the award — all sixty pages of it — and the platform builds the rules that handle each timesheet, from ordinary hours to overtime, weekends and meal allowances.

7. Payroll and invoicing become a review, not a recalculation

This is where finance feels the difference. Process a full week of timesheets in one run, and the system matches each one to your SOR (or T&M) and EBA. It splits the time into ordinary hours, overtime and allowances. Crucially, it also shows its reasoning line by line. So payroll becomes a review instead of a recalculation. Need a one-off rate or a handshake adjustment before billing? Then tweak the billable units in seconds, and match the output to your accounting cost codes for a clean export. CraneOps doesn’t replace your ERP or accounting package. Instead, it feeds that system accurate, real-time data, so the numbers tie back to the original quote.

From there, it’s a short step to a sent invoice. The platform pushes it to a client portal, where customers can view their dockets / work tickets and invoices. Or it sends the invoice to your accounting system to raise the bill there.

We want to shift you away from getting into the weeds of processing this data and turn it into reviewing it instead. Rather than someone being bogged down breaking up hours and checking documents, you just see how the AI reached its conclusion and make sure it’s right.

8. An AI teammate that knows your business

The thread running through all of this is Milo, an AI assistant trained for crane and construction work. It knows your system, your rates and your award. So anyone on the team can ask it “when does our overtime start?” or “when do we pay a meal allowance?” Then they get an answer grounded in the documents you’ve uploaded, and they can pull a report from the same place. It’s less a chatbot and more an extra expert on the team, one that never forgets a rule.

The bottom line on crane operations software

Run the job in one connected platform, and the whole shape of the week changes. Quotes go out faster, dockets / work tickets stop getting lost, and payroll and invoicing become a quick review. Meanwhile, the people who run your business get their time back for the work that grows it. In short, that’s what crane operations software should do. It shouldn’t add another disconnected tool. Instead, it should join the field, office and finance, so the cash flow follows the work.
